The Challenges

  • Monitoring and Reporting limitations
  • Scalability – but with high cost
  • Complex and inefficient Management Interface

The Solution

BluVault for Endpoint Backups – The company opted for Parablu’s BaaS (Backup as a Service) offering which is fully hosted and managed on the cloud, but with the option to switch to Bespoke BaaS – which enables mix and match with the organization’s on-premise backup servers in the future should the need arise.

“We are happy that we made the switch to Parablu’s BluVault. Not only did we overcome the challenges we had with our previous backup solution, but we also feel that we now have a much stronger data protection strategy. The product is intuitive, and it simply works. Securing, monitoring, and managing backups has become dramatically easier. Parablu’s tech support is great, but we hardly have much cause to call them and ask for help.”

The challenge

The organization realized the need for an enterprise-grade data protection solution quite early in their business journey and had implemented what was considered a leading backup solution for all their data backup and protection needs.

However, they experienced several challenges that hampered daily endpoint data backup and management operations.

1. Monitoring and Reporting limitations
With multiple end-users spread across the globe, the IT team needed centralized management capabilities to effectively monitor backup/restore activities at all times. Their existing solution was consistently failing to execute elementary monitoring tasks such as sending alerts to notify administrators of data restore operations or backup failures. And it offered no visibility to what data was being backed up at a folder level. Limited reporting options with the unavailability of specific policy/user/device-based filtering also added to their monitoring inefficiencies.
2. Scalability – but with high cost
As the business witnessed massive growth in operations and data, they foresaw an increase in the number of endpoints and the total size of data they needed to protect. Their existing solution provider proved to be inflexible in their licensing, offered complex pricing with confusing variants, and most importantly, came packaged with their own cloud-based storage. Scaling up meant higher costs not just in terms of software licenses – but also cloud storage.

Also, since their customer base traditionally belonged to highly regulated business verticals, the company was also considering using a single solution that offered flexibility in implementing either an on-premise or hybrid setup without being tied completely to the cloud. Their existing backup vendor did not offer this flexibility.

3. Complex and inefficient Management Interface
As data protection operations got more complex with the increase in number of users and endpoint devices, the IT team could sense that their existing management console’s capabilities were less than adequate. They missed having key functionality such as the ability to assign multiple administrators to user groups, detecting/alerting in the event of backup data deletion, stealth mode backup capabilities, etc.

The existing management interface also felt complex, non-intuitive, and held a steeper learning curve for new team members.

Solution

Parablu after considering all of these challenges, recommended BluVault – Endpoint Backup. The company opted for Parablu’s BaaS (Backup as a Service) offering which is fully hosted and managed on the cloud, but with the option to switch to Bespoke BaaS – which enables mix and match with the organization’s on-premise backup servers in the future should the need arise.

Benefits

1. Vastly lowered storage costs
With BluVault in place the IT team was able to replace their existing solution which came with bundled cloud storage infrastructure. They now utilize Parablu’s patented integration with Microsoft 365 to enable automated, encrypted, and secure endpoint data backups to each end-user’s respective OneDrive for Business storage allocation.
2. Safe, Secure and Reliable
With automated, encrypted, and checkpointed backups, the IT team now feels much more secure handling data recovery requests. Backups of corporate data stored safely in their own OneDrive storage allocations with complete control over the encryption keys have given them assurance of not just robust data protection but also an unmatched level of data privacy.
3. Policy-based management
This company was able to eliminate daily challenges such as incomplete/failed backups and solve the problem of lack of visibility over backup performance. They now create custom policies based on their needs. Be it backing up a complete endpoint, or data from just a few specific folders, it is all achieved with just a few clicks of the mouse.
4. Centralized Management – made easy
One of the main challenges that the IT team was struggling with was the lack of visibility into backup and restore activities. With BluVault’s built-in reports and activity logs, monitoring operations became easy and efficient. Also, BluVault dashboards are role sensitive and automatically adjust their view to the logged in user – whether they be Administrators, Delegated Administrators or end-users. BluVault’s ability to delegate administration based on department or geography also helped the IT team focus better to quickly identify any anomalies or deviations.
5. Flexible Alerts & Notifications
The team now utilizes an array of alerts and reports that can help them get notified when critical events occur or when thresholds are breached. These notifications or reports can be scheduled to be directly emailed to administrators or even end-users. End-users can now be alerted if a restore is triggered on their data, be sent weekly backup activity summaries, etc.
6. Deployment Flexibility
Unlike the cloud lock-in they experienced with their earlier backup solution, with Parablu they are assured of the same features and capabilities irrespective of deployment type. The company now feels secure about accommodating any new changes or requirements in their backup setup without having to switch out to a new solution. Be it moving from the current BaaS to an on-premise deployment model, or moving from OneDrive to Google Drive as a storage target – they know Parablu will help them with it.
7. Intuitive console
The organization overcame several limitations that their previous backup solution came with, using Parablu’s centralized management console. BluVault’s console is intuitive, bereft of unnecessary and distracting options, and is designed to be simple and easy-to-use.

This has empowered their IT team to become much better at monitoring, managing, and controlling all backup activity, and with a minimal learning curve.

8. No Storage Limits
Now that the firm uses their existing OneDrive for Business as the backup storage target, their spend on storage is ZERO. As such, they are not constrained by any storage size limits or any imposed quotas. They are able to backup much more data per-user than they were allowed to before with their 50GB/user subscription.
